Partner Terms

These Partner Terms govern businesses (“Merchants”) that use BookByOnline to take bookings and manage their operations. They apply in addition to our Terms of Service and Data Processing Addendum.

Merchant onboarding & account ownership

The individual who creates a Merchant account acts on behalf of the business and warrants they are authorised to bind it. The business owns the merchant account; you are responsible for managing team access and for all activity within your workspace.

Business information accuracy

You must provide and maintain accurate business details, addresses, service listings, pricing and availability. Misleading listings, hidden fees or impersonation of another business are prohibited and may result in suspension.

Service listings & pricing

You control your services, durations, prices, deposits and payment policies. You are responsible for the legality of what you offer, for displaying prices inclusive of applicable taxes where required, and for honouring the prices shown to Customers at booking.

Customer management & data ownership

As between you and BookByOnline, you are the controller of your customer data and own the customer records in your workspace. You must have a lawful basis to collect and use that data, and you are responsible for your CRM entries, notes, tags and segments.

Booking obligations & communications

You must honour confirmed bookings, keep availability current, and handle rescheduling fairly. Customer communications you send through the Platform (confirmations, reminders, marketing) must be accurate, lawful and consented to where required. Marketing to customers must respect opt-outs and applicable e-privacy rules.

Marketing, campaigns & loyalty compliance

When using campaigns, segments and loyalty features you must comply with marketing and consumer-protection laws, only message customers who may lawfully be contacted, honour unsubscribe requests promptly, and ensure loyalty and promotional terms are clear and honoured.

Payment integrations & Stripe Connect

Payments are processed by our providers. If you connect Stripe (or another processor) you must complete their onboarding, comply with their terms and card-network rules, and keep your payout and identity details accurate. BookByOnline does not hold funds and is not the merchant of record for your services.

Taxes, VAT & refunds

You are solely responsible for determining, collecting and remitting all taxes (including VAT/GST/sales tax) on your services, for issuing compliant invoices, and for handling customer refunds in line with your published policies and applicable law.

No-shows, cancellations & deposits

You set your deposit, cancellation and no-show rules within the Platform's payment-policy options. You must display these clearly to Customers before booking and apply them consistently and lawfully.

Reviews, ratings & marketplace listings

You must not solicit fake reviews, filter out genuine negative reviews unlawfully, or offer prohibited incentives. Where marketplace/directory or advertising features are available, listings and promotions must be accurate and comply with our policies.

Platform fees, subscriptions & chargebacks

Subscription and any usage fees are billed as shown at purchase and are due in advance. You are responsible for chargebacks, disputes and refunds relating to your services, and for maintaining a valid payment method for platform fees.

Fraud & security responsibilities

You must take reasonable steps to prevent fraud in your workspace, safeguard credentials, manage team member access on a least-privilege basis, and promptly revoke access for departed staff. Notify us of any suspected compromise of your account.

API & custom domain usage

If you use our APIs or connect a custom domain, you must follow our technical documentation and rate limits, keep DNS and credentials secure, and not use these features to circumvent platform controls. Custom domains must be lawfully controlled by you.

Data protection obligations

You act as controller for your customer data and BookByOnline acts as your processor under the Data Processing Addendum, which forms part of these Partner Terms. You must provide required privacy notices to your customers and honour their data-subject requests.

Termination & post-termination

Either party may terminate as described in the Terms of Service. On termination you may export your data for a limited period; after that we may delete or anonymise it subject to legal retention. Fees accrued before termination remain payable, and outstanding customer obligations are yours to resolve.

Liability limitations

The liability limitations and indemnities in our Terms of Service apply to these Partner Terms. You are responsible for your services, your customers and your legal compliance; BookByOnline provides the tools, not the underlying services.
