AI Terms

These AI Terms govern the AI Receptionist and other AI-assisted features of BookByOnline. They apply in addition to our Terms of Service, Partner Terms and DPA. AI features are optional and controlled by the Merchant.

What the AI features do

AI features can answer common questions, capture appointment requests, draft responses and, where enabled, transcribe calls or chats. They are tools to assist a Merchant's operations, not a substitute for professional advice or human judgement.

AI-generated responses & accuracy

AI output is generated automatically and may be incomplete, outdated or incorrect. It should not be solely relied upon for decisions, and Merchants remain responsible for what is communicated to their customers through AI features.

Call recording, transcription & consent

Recording and transcription are off unless a Merchant switches them on. Where enabled, the Merchant is responsible for providing lawful notice and obtaining any required consent from callers before recording or transcribing, in line with applicable laws that may require one-party or all-party consent.

Human review requirements

Merchants should apply appropriate human oversight to AI interactions, especially for bookings, pricing, cancellations, refunds and anything with legal or financial consequences. Critical actions should be confirmed by a person.

Customer disclosures

Where a customer interacts with an AI feature, the Merchant should disclose that they are dealing with an automated system where required or appropriate, and provide a route to reach a human.

Data use for AI

AI features process the data needed to respond and to create requested records. We do not use a Merchant's customer content to train general-purpose models without authorisation. Provider-specific handling is described in our Privacy Policy and Subprocessors page.

Merchant responsibilities

Merchants are responsible for configuring AI features appropriately, for the accuracy of information the AI is given, for compliance with recording/consent and consumer-protection laws, and for honouring commitments made to customers through the AI.

Limitations & changes

AI features may change, be limited by usage caps, or be unavailable at times. We may update these AI Terms as the features and the law evolve; material changes will be notified and take effect as stated in the notice.
